Transportation Reservation Policies & Procedures

Please read these Transportation Reservation Terms carefully before scheduling or using services provided by UniqueHands Non-Emergency Medical Transportation. By requesting, booking, or receiving transportation services, you acknowledge that you have read, understood, and agree to be bound by these terms and conditions. If you do not agree with any part of these Transportation Reservation Terms, please do not schedule or use our services.

1. Transportation Service Agreement

UniqueHands Non-Emergency Medical Transportation provides private-pay, non-emergency medical transportation services for individuals who require safe, comfortable, and dependable transportation to and from healthcare-related and other approved destinations. Our services include, but are not limited to, ambulatory transportation, wheelchair transportation, stretcher transportation, long-distance medical transportation, hospital discharges, rehabilitation transportation, airport medical transportation, and transportation to assisted living or skilled nursing facilities.

All transportation services are subject to vehicle availability, scheduling, staffing, weather conditions, road conditions, and operational considerations. Submitting a reservation request does not guarantee service until your transportation has been reviewed and confirmed by the UniqueHands scheduling team.

UniqueHands provides non-emergency transportation only and is not an emergency medical service (EMS). If a passenger is experiencing a medical emergency or requires immediate medical attention, please call 911 or your local emergency response provider.

2. Booking, Reservations, and Payment

To schedule transportation, you must provide accurate, complete, and up-to-date information, including pickup and drop-off locations, appointment details, mobility needs, passenger information, and any special accommodations required for safe transportation. Providing inaccurate or incomplete information may result in delays, additional charges, or cancellation of your reservation.

Reservations are subject to availability and are not considered confirmed until you receive confirmation from the UniqueHands scheduling team.

Payment is required according to the payment terms provided at the time of booking. For most private-pay reservations, payment may be required before or at the time of service, unless alternative billing arrangements have been approved in advance.

We accept a variety of payment methods, including major credit and debit cards, and other approved payment options. Additional charges may apply for services such as extended wait time, additional stops, after-hours transportation, holiday transportation, route changes, or other services requested beyond the original reservation.

UniqueHands reserves the right to decline, cancel, or reschedule any reservation when necessary due to safety concerns, vehicle availability, weather conditions, operational requirements, or failure to comply with these Terms of Transportation Reservations.

3. Cancellation and Refund Policy

To provide reliable scheduling for all passengers, we ask that any cancellation or reservation changes be made at least 24 hours before the scheduled pickup time whenever possible.

Cancellations made less than 24 hours before the scheduled pickup may be subject to a cancellation fee.
Same-day cancellations, missed appointments, or no-shows may result in additional charges based on the services reserved and operational costs incurred.
If UniqueHands is unable to provide the scheduled transportation due to circumstances within our control, we will work with you to reschedule your trip or provide an appropriate refund when applicable.
Approved refunds will be processed using the original method of payment whenever possible. Processing times may vary depending on your financial institution.
Refund eligibility is determined on a case-by-case basis in accordance with our refund policy and the circumstances surrounding the reservation.

We encourage passengers to notify our scheduling team as soon as possible if plans change so we can better accommodate your transportation needs and assist other clients.

4. Passenger Responsibilities

To help ensure safe, timely, and reliable transportation, passengers are responsible for the following:

Passengers must be ready at the agreed-upon pickup location and time. Delays may result in additional wait-time charges, rescheduling, or cancellation of the trip if our schedule cannot accommodate the delay.
Passengers are responsible for providing accurate and complete information when making a reservation, including pickup and destination addresses, appointment times, mobility needs, and any special assistance required.
Passengers must inform UniqueHands of any medical conditions, mobility limitations, medical equipment, service animals, or other special transportation requirements at the time of booking so appropriate accommodations can be arranged.
Passengers are expected to treat our drivers, staff, vehicles, and equipment with courtesy and respect at all times.
For the safety of everyone involved, passengers must follow all reasonable instructions provided by our drivers regarding boarding, exiting, wheelchair securement, stretcher transportation procedures, seat belt use, and other safety protocols.
If a passenger requires a personal caregiver or escort during transportation, it is the passenger's responsibility to arrange for that individual unless otherwise agreed upon in advance.
UniqueHands reserves the right to refuse or discontinue transportation if a passenger's behavior creates a safety risk to themselves, our staff, or others.

5. Safety and Health

The safety and well-being of our passengers, drivers, and staff are our highest priorities. By using our transportation services, passengers agree to the following:

Passengers are responsible for providing accurate information regarding any medical conditions, mobility limitations, or special transportation needs that may affect the safety of their trip.
Passengers should follow all safety instructions provided by our drivers, including the proper use of seat belts, wheelchair securement systems, stretcher restraints, and other safety equipment.
If a passenger has a contagious or communicable illness, UniqueHands may require appropriate safety precautions, including the use of a face mask or other protective measures, when consistent with applicable public health guidance.
Passengers who appear to require emergency medical care, whose condition exceeds the scope of non-emergency transportation, or whose condition presents an immediate safety risk to themselves, our staff, or other passengers may be refused transportation. In such situations, emergency medical services (911) should be contacted.
UniqueHands reserves the right to suspend or refuse service when transportation cannot be provided safely or when doing so would place the passenger, our staff, or the public at unreasonable risk.

6. Limitation of Liability

While UniqueHands Non-Emergency Medical Transportation is committed to providing safe, reliable, and professional transportation services, certain circumstances may be beyond our reasonable control.

We are not liable for delays, missed appointments, schedule changes, traffic conditions, road closures, weather events, vehicle breakdowns, acts of nature, or other unforeseen circumstances beyond our reasonable control.
UniqueHands is a non-emergency medical transportation provider and does not provide emergency medical treatment or emergency medical services. Our drivers are trained in safe passenger transportation but are not a substitute for emergency medical personnel.
Passengers are responsible for ensuring that non-emergency transportation is appropriate for their medical condition. If a medical emergency occurs before or during transportation, our staff may contact 911 or local emergency medical services when necessary.
Except where prohibited by applicable law, UniqueHands shall not be liable for any indirect, incidental, consequential, or special damages arising from the use of our transportation services.
Nothing in these Terms limits or excludes liability where such limitation or exclusion is prohibited by applicable law.
